Introduction
The Patient Information Forum (PIF) holds a variety of events, webinars and training workshops. Some events are free for PIF members to attend and others require a delegate fee to be paid.
By registering to attend a PIF event you agree to be bound by the Terms and Conditions below.
Terms and Conditions
Bookings online
Once you have completed a booking form online to attend a PIF event you will receive an email confirming receipt of your booking. If necessary, an invoice will also be issued via a separate email.
Please note that your place is not guaranteed until payment has been received and confirmed.
Payment
Where there is a delegate fee payable for an event, full payment must be received before the event, or we will be unable to admit you on the day of the event. In exceptional circumstances we may be able to accept payment by cheque, or take credit card details as insurance against non-payment on the day of the event.
Breakout sessions
Where an event has a breakout session, we may ask you to book your session of choice in advance. We will always try to ensure that the breakout session you have chosen is available, however, we cannot guarantee your first choice.
Cancellations
Fee paying events
A refund, less a 20% administration fee, will be made if cancellations are received at least 4 weeks before the date of the event. We regret that any cancellation after this time cannot be refunded, and that refunds for failure to attend an event cannot be made. Please contact info@pifonline.org.uk if you wish to cancel your attendance.
However, substitute delegates are welcome at any time, but must be notified to us as soon as possible via info@pifonline.org.uk to ensure changes can be made to name badges and attendee lists. Please note that this condition does not apply to people attending the event as sponsors or exhibitors – please refer to the contract issued to you for the cancellation clause in this case.
Free events
Where an event is free to attend a £50.00+VAT administration and catering fee will be charged for failure to attend without 7 days notice prior to the event.
Cancellation of an event by PIF
If it is necessary for PIF to cancel an event you will be advised via the email address you provided on your registration form for the event. If a payment has been made for the event you will receive a full refund.
Changes to speakers, programmes and timings
PIF reserves the right, at all times, and at its absolute discretion to make changes to speakers, programmes and timings without prior notice.
Catering
Where catering is provided at an event and you have specified a particular dietary requirement in advance, we will do our best to accommodate this wherever possible. However, venues and their ability to cater for specific needs alter with each event and PIF cannot guarantee suitable options will be available.
Accessibility
PIF will always endeavour to select venues which are accessible for wheelchair users and provide hearing loop technology. However, venues and their ability to cater for specific needs alter with each event. Please liaise with us as soon as possible about your accessibility needs so we can do our utmost to accommodate you.
Travel, accommodation and other costs
Travel, accommodation and associated costs for attending an event are the responsibility of the attendee.
Accommodation
PIF will, where appropriate, provide a list of suggested accommodation options for the events we hold. Although we will try and select a range of suitable options PIF takes no responsibility for the standard or quality of accommodation booked, and any booking should be undertaken between yourself and the accommodation directly.
Your data
The information you provide will be held in line with the PIF Privacy Policy, which forms part of these Terms and Conditions, in accordance with General Data Protection Regulation (GDPR), the Data Protection Act 1998 and any other applicable data protection legislation. We NEVER pass your details on to third parties unless we have a legitimate interest to do so.
Changes to these Terms and Conditions
We may update these Terms and Conditions from time to time at our discretion.
Amended Terms and Conditions shall become effective as soon as they are placed on the PIF website.
